Expense Tools Compared

Three ways to track company spending, two with corporate cards attached. Read the credit terms before you apply.

Link disclosure. Every provider link on this page is marked rel="sponsored". Right now none of them is a tracked partner link, so each button goes straight to the provider’s own site and FlowHaxa earns nothing from the click. If that changes, this notice will say so. A Corporate Card Is a Credit Application

Ramp and BILL both advertise their software as free, but the cards that come with it are credit products. Applying means a credit decision, and depending on the terms it can involve a personal guarantee or a hard inquiry on your personal file. Neither pricing page answers that, so ask each provider before you apply.

If a credit line is part of what you want, read what a line of credit is first, so you know what you are agreeing to.

When Expense Software Starts to Matter

If you are a solo owner, a spreadsheet and your bank feed are probably enough. Once other people spend money for the business, receipts go missing and the spending in your bank feed stops matching what you approved. That is the point to add a tool. Our guide to tracking business expenses covers the manual routes first.

Cards Change When Cash Leaves

A card moves cash out when the statement is paid, not when someone swipes. That can smooth a tight week, and it can also hide how much you have already committed. Put card balances in your forecast on the date you expect to pay the statement, not the date of purchase.

Other Names You Will Hear

Brex and Expensify come up often in this category. We could not confirm current pricing for either from its own pages for this review, so we left them out rather than guess. For the general idea, see what expense management software does.

Frequently Asked Questions

Do I need expense software or just a card?

A card gives you spending data in a statement. Expense software adds receipts, approvals and accounting sync. If one or two people spend, the statement may be enough.

Will these cards help build business credit?

It depends on whether the issuer reports to the business bureaus, which the pricing pages do not state. Ask before you apply.

Is there a catch to the free plans?

The software is free, but cards are underwritten, optional features sit on paid tiers, and some payment methods carry fees, such as paying a bill by card on BILL.
